Three reasons of legal difficulties in bad news messages

1. Careless Language: The meaning is itself clear with the word "careless". It refers to that  language which is used when we think that reader will not mind but in reality it is misunderstood by them. Words or sentence can be hurtful as well. So always be certain about your words while speaking or sending any message to anyone. It can also be considered as that statement which can be misinterpreted by the listener or reader if it will not be written in a positive manner.It can also create hassles. Nowadays, in every department communication is the foremost important thing so if the speaker will speak harshly or will use negative words then the reader will feel bad.

2. Abusive Language:- Abusive language is that language in which harmful words or sentences are used. Calling people by their names can be a negative effect for you and this language can be legally objectionable. Any false statement that is used and hurt others is called Defamation. There are two ways of using abusive language:- one way is we can speak the language which is considered as slander and the second way is when we write the language and this method is known as libel. However, It should be avoided as it mainly affects the children and can have a bad impact on them.

3.Good Guy Syndrome:- It is the third most important problem in bad news messages. It occurs when we make ourselves to look elegant as well as receiver feels better when delivering bad and negative messages. Mostly people hate to reveal about news that is negative which makes them a bad guy.That is why, people make themselves look better and make good relations with others so that they can represent the message which is legally dangerous. This situation mainly occurs when someone tries to disclose the negative information in a gentle way but in last they end up with a wrong way and it creates the problems for a company.

Establishing objectives in interacting negative news

There are many ways in which we can form goals while communicating bad news:-

1. Clear and proper clarification: Your news or message should be valid and appropriate enough that everyone can understand completely in a better way and also accept the bad news without having any problem regarding the bad message.

2. Predicting a representation: Image must be projected in well organised manner so as to make people comfortable and behaving in a polite and respected way while talking to customers even if they argue or use harsh words, answer should always be positive.

3.Transfer of news in sensitive way: It is recommended that illegal or bad words should be avoided while talking to a customer. Realizing your mistake and apologizing for that is a good way to overcome the risk of blame regarding bad message.

4.Being loyal and fair: Everyone should be treated equally thinking about their comfort zone so as to evade any problem while accepting negative message.

5.Behaving  affectionately: It is suggested that you must maintain friendly relations with the reader so that they can feel that you will remain with them forever and want to continue your work with them.

These goals are the most important to keep in mind while interfacing the receiver and strategies must be made so as to succeed in achieving the goal.

How to Format the Negative Message

There are two ways of writing a message :-

1. Direct approach

Direct Approach:

Direct approach is that which is meant in a direct language in letter, memo or e-mail. When the direct approach is used the main idea of the message comes on the top of the document. Direct approach is used when the audience is neutral about your message. It starts with the bad message which contains negative words like unfortunately. In direct approach its necessary to explain the reason for rejection or prohibition about the news. Audience should be the main focus while explaining them the reason for the bad news and cautions must be used n direct approach.At the end, message should be in a truthful as well as positive manner.

Indirect Approach:

Indirect approach is that which starts with the presentation of proof leading therefore as the main idea and with this it is recommended to use "positive-negative-positive" pattern. it starts as well as ends with the positive attitude among bad news. First of all, it starts with the buffer which is a platform that make relation between you and reader in which everything is explained in brief and relevant manner. In indirect approach its compulsory to explain the reasons with proper clarification as in direct approach. Complete conclusion with detailed discussion is suggested before presentation among all people. Furthermore, it is preferred to clearly state the bad news because reader is now totally prepared for the news due to buffer and explanation. At last, as I said before ending is also positive in indirect approach so unclear and negative conclusion must be evaded.
